A fixed schedule assumes a steady rate of soiling, which is exactly what an irregularly used building does not have. Attendances land on empty weeks and miss busy ones, so the facility is simultaneously overpaying and under-serviced. The usual response is to add frequency, which increases the cost without solving the timing, because the problem is not how often but when relative to actual use.

The better structure separates the two needs. A base attendance keeps the building maintained regardless of use, covering amenities, dust, entry areas and anything that deteriorates with time alone. Called attendances handle actual events, sized to what the booking involved. Comparing providers on how well they can offer both is more useful than comparing them on a weekly figure neither structure really fits and it is a structure most providers can quote if asked.

Ask for a rate that covers the realistic cases: a short reset after a small booking, a full clean after a large event, and a same-day request. Three rates agreed in advance mean the person managing bookings can commit to a hirer without needing a quote each time. Without them, every event becomes an administrative exercise and the cleaning gets arranged late or not at all.

Then ask about notice. A provider who needs a week will not suit a facility that takes bookings at short notice, however good their price is. A provider who can respond within a day may charge more for it, which is reasonable. What matters is knowing the terms before you need them, so the person taking bookings knows what they can promise and so the hirer is not promised something that cannot be delivered.

With a called arrangement, somebody has to make the call. Name that person and give them authority within agreed limits, otherwise requests wait for approval and the hall is cleaned two days after the event. A simple rule works well: attendances within the agreed rates can be booked by the named person, anything larger needs approval from the committee or the manager and the arrangement stops depending on somebody chasing approvals.

Also agree who checks the result and how a problem after an event is raised. Halls are frequently unattended between bookings, so a poor clean may not be discovered until the next hirer arrives and complains. A short check by whoever unlocks the building, or a photo from the cleaner on completion, closes that gap without adding meaningful cost to the arrangement and it gives the committee evidence when a hirer complains.
