Every provider will say yes to additional work, because additional work is revenue. The question is where the labour comes from at short notice. Staff already rostered on other sites cannot simply be moved without those sites noticing. A casual pool exists only if the provider maintains one, and maintaining one costs money whether or not it is used, which is why many providers do not.

Ask for the mechanism rather than the answer. A provider who describes a pool, a relief roster or an arrangement with another operator has thought about it. A provider who says they would manage it has not, and the discovery will occur on the morning you need six people and two arrive. Asking during the comparison costs nothing and the answers vary far more than you would expect.

Agree a callout rate basis at quote stage. Additional labour requested at short notice, on a weekend or overnight, will cost more than the routine arrangement, and that is entirely reasonable. What is not reasonable is discovering the figure after the event when you have no alternative and no basis for comparison. A rate agreed in advance makes the decision to call for help a straightforward one.

Ask for the rate to cover the realistic scenarios: a few extra hours added to a scheduled attendance, a same-day callout, and a planned additional crew booked a week ahead. Those are three different things with three different costs. Having all three agreed means you can plan an event calendar against known figures rather than requesting quotes each time something comes up rather than starting a fresh negotiation every time an event is booked.

Where peaks are known in advance, they should not be handled as surges at all. Give the provider your calendar and let them roster for it, which is cheaper and more reliable than short-notice labour. A provider who asks for the calendar during the walkthrough is planning; one who prices a flat weekly schedule for a premises with an obvious event pattern has not looked closely enough.

Keep the calendar current afterwards. The most common cause of a failed event clean is not capacity but notice, because somebody added a booking and nobody told the provider. Agree who sends updates and how often, and make it one person's responsibility. That single arrangement prevents most of the problems that surge capacity is otherwise expected to solve and it costs nothing beyond a standing item in somebody's diary.
