Decide the process before you decide the provider
Bring a short proposal to the committee: how many quotes will be sought, what the brief will cover, who will host the walkthroughs, what criteria will be applied and who has authority to decide. Get it minuted. Fifteen minutes at one meeting removes most of the difficulty that arises later, because the process was agreed collectively before anybody had seen a name or a figure.
Include the declaration step. Any committee member with a connection to a bidder should say so at that meeting and the minute should record how it was handled. Declarations are unremarkable when made early and damaging when discovered late, and the person most protected by an early declaration is usually the member making it and the committee as a whole from an accusation nobody can rebut afterwards.
