Testing a cleaner's assumptions about shift access in Ingleburn

A site running two shifts may appear to have several hours between them, and in practice have twenty minutes once handover, cleaning down of equipment and the early arrivals for the next shift are accounted for. A provider quoting from a stated finishing time will build a schedule around a window that does not exist. The result is either an incomplete clean or a cleaner working around people, neither of which was priced.

Ask what the provider believes the window is and where they got that figure. If it came from the walkthrough conversation, check it against reality with somebody who works the changeover. Production supervisors and shift leaders generally have a far more accurate picture than the office does, and half an hour spent with one of them before quotes go out prevents a schedule that will not survive its first month.

Most shift sites have areas that are effectively never empty: a control room, a dispatch desk, a continuously staffed line. A provider assuming full access to those areas has priced work they cannot perform. Identify them in the brief and ask each bidder how they would handle them, since the answer usually involves either working around occupants or a defined access arrangement agreed with your supervisors in advance.

The same applies to areas with restricted entry. Plant rooms, secure stores and quality areas may need supervision or specific authorisation. Tell providers about them at quote stage. Discovering them afterwards produces either a variation or an area that quietly stops being cleaned, and the second outcome is more common because nobody notices a room they never enter and a room nobody enters is a room nobody checks either.

Write the agreed access windows into the arrangement alongside the task list. It costs a paragraph and it means a schedule change on your side has an obvious consequence that both parties can discuss, rather than a cleaner silently attempting the same work in half the time. It also gives the provider a fair basis for raising a variation if your shift pattern changes significantly.

Then agree how a lost window is handled. If a run overruns and the area is unavailable, the tasks should be recorded and rescheduled rather than skipped. Name who the cleaner tells and where the record goes. Without that, periodic work on a shift site tends to disappear gradually, and the first evidence is a floor or an amenity that has clearly not been attended for a long time.
